Starting point

E-invoicing is mandatory. Are your processes not ready yet?

Since 2025, you have to be able to receive e-invoices. From 2027, sending them becomes mandatory for many companies, and from 2028 for all of them. A PDF by email will no longer be enough. Time to switch over your invoicing process.

  1. 01

    Retyping invoices

Invoice data is transferred by hand from PDFs into Business Central.

  2. 02

    Rejected invoices

Customers and public authorities send invoices back because mandatory details are missing.

  3. 03

    XML nobody can read

The e-invoice arrives. Only someone who understands the code can check it.

  4. 04

    Approval by word of mouth

Who approves an invoice depends on who happens to be in the office.

  5. 05

    Excel as a checklist

Incoming invoices are tracked in spreadsheets instead of in the system.

  6. 06

    Flying blind on deadlines

Nobody knows exactly when which obligation applies to your company.

Everything your e-invoicing in Business Central needs.

Every component follows the same standards. You start with what the law requires.

  1. Rule 01

    Standard before customization

Business Central supports XRechnung, ZUGFeRD and Peppol BIS 3 out of the box. We use the E-Document framework and only add what’s missing.

  2. Rule 02

    Built to survive updates

Enhancements are built as extensions in AL. No changes to the standard code. New format versions and Microsoft updates go through.

  3. Rule 03

    Validated before sending

Every invoice is validated against the official rules. If a mandatory detail is missing, you find out immediately, not from your customer.

  4. Rule 04

    Monitoring with alerts

You can see which invoice was sent, delivered or rejected, and when. If something breaks, the person responsible is notified.

  5. Rule 05

    Readable for people

Every e-invoice has a clear visual view. Accounting and approvers don’t need any XML knowledge.

  6. Rule 06

    Secure and GoBD-compliant

Originals are archived so they can’t be altered. Access via Entra ID and least-privilege permissions. Exclusively in EU data centers on request.

Process

Four steps to compliant e-invoicing.

  1. E-invoicing check

    Duration: 2 days

We map your incoming and outgoing invoices. You get an overview of which obligations apply, what’s missing and what the switch will cost.

  2. Concept

    Duration: 1–2 weeks

We define formats, receiving channels, validation rules and approvals. In writing, before a single line of code is written.

  3. Implementation and testing

    Duration: depends on scope

Setup in a sandbox, test invoices with real customers and suppliers, acceptance by your accounting team. Only then do we go live.

  4. Operations

    Duration: ongoing

We monitor the invoice flow and adapt when formats or requirements change. With a fixed service agreement on request.

  1. Processing time

    Metric 01

Minutes per incoming invoice, from receipt to posting.

  2. Error rate

    Metric 02

Follow-up questions, corrections and rejected invoices.

  3. Lead time

    Metric 03

From receipt of the invoice to approval for payment.

You have had to be able to receive e-invoices since January 1, 2025. For sending, there is a transition period: from 2027, companies with more than €800,000 in prior-year revenue are required to send them, and from 2028, all companies. In the e-invoicing check, we clarify exactly what applies to you.

XRechnung is a pure XML file without a visual view. Public-sector clients usually require it. ZUGFeRD combines a readable PDF with embedded XML. Both meet the requirement as long as they comply with the EN 16931 standard, which for ZUGFeRD means the EN 16931 profile or higher. Which format you use depends mainly on your customers.

Yes. Since version 26.3, the German version of Business Central supports XRechnung, ZUGFeRD and Peppol BIS 3 through the E-Document framework. Sending and receiving therefore work out of the box. We set it up and add what your process is missing: receiving channels, validation rules, approvals and archiving.

No. Since 2025, a PDF no longer counts as an e-invoice but as an “other invoice.” During the transition period, you may still send it until the end of 2026, or until the end of 2027 if your prior-year revenue is no more than €800,000. After that, you need a structured format such as XRechnung or ZUGFeRD.

Via an email inbox, Peppol or portals. Business Central recognizes the format, reads the data and creates an e-document. For ZUGFeRD, the XML is extracted from the PDF automatically. With purchase order matching and an approval workflow, this becomes a posted purchase invoice without any retyping.

Yes. Your partner remains responsible for Business Central; we take responsibility for e-invoicing. We coordinate setup, extensions and update dates directly with them. There’s no need to switch partners.

What counts is the XML, not the visual copy. It must be stored completely, unalterably and readable at all times, usually for eight years. To do this, we connect your DMS or an audit-proof archive. The invoice remains retrievable directly from the document in Business Central.

Not necessarily. Between businesses, sending by email is enough. Peppol pays off if you invoice public-sector clients or your trading partners require it. Business Central supports Peppol BIS 3; for delivery, you need an access point. We’ll connect it for you.

No obligation. Plain language. Focused on your actual business benefit.

In a first conversation we work out which processes offer the biggest lever – functionally, technically and commercially. No buzzwords, just a clear view of feasibility, risks and benefits.
